All registration fees, membership fees, administrative fees, fundraising obligations, and tuition payments must be paid according to the club’s payment schedule.
Administration will only communicate with the family members on account. The main email address will receive financial information
Participation in programs may be suspended if accounts remain unpaid.
The club reserves the right to:
• deny registration for accounts with outstanding balances • suspend participation for non-payment • refuse future registration due to unresolved financial obligations
All fees are listed in Canadian dollars and are subject to change.
Payment Plan Agreement
Only applicable to those approved by administration
Automatic Payments
• Monthly tuition payments will be processed automatically using the payment method provided during registration.
If a payment is declined:
• The club may retry the payment within 1–5 business days. • The account holder will be notified of the failed payment. • Outstanding balances remain the responsibility of the account holder.
Repeated failed payments may result in:
• late fees • suspension from programming • removal from registration • loss of future registration privileges
Late Fees & NSF Charges
Tuition payments not received within 5 business days of the due date may be subject to:
• a late fee of up to $25 • NSF fees of up to $50 for returned payments
The club reserves the right to waive fees in exceptional circumstances.
Refund and Withdrawal
Before Program Start
A full refund may be issued, less any non-refundable AGF membership, or administrative fees.
After Program Start
• All withdrawal requests must be submitted in writing to the club office. • Verbal notice to coaches or staff will not constitute official withdrawal. • AGF membership fees remain non-refundable.
If withdrawal occurs after the first class but before the second class:
• tuition may be prorated • administrative fees may apply
All withdrawal requests for refunds must be submitted before the beginning of the second class of the session.
No refunds will generally be issued after the second class except in exceptional circumstances approved by club administration.
Medical Withdrawals
Medical withdrawals may be considered with:
• written physician documentation • sufficient notice • administrative approval
• Participation in designated club fundraising activities is mandatory for registered families. • A fundraising bond will be charged during registration and refunded upon fulfillment of fundraising obligations. • Failure to complete fundraising requirements may result in forfeiture of the fundraising bond. • Specific fundraising requirements will be communicated each season.
Athlete Code of Conduct
All athletes are expected to:
• demonstrate respect toward coaches, staff, volunteers, officials, and fellow athletes • follow gym safety rules and coaching instruction • use equipment appropriately • maintain respectful behavior in person and online • contribute to a safe and inclusive environment
• in the gym • during travel/events • at competitions • online/social media • at school and within the community
Failure to comply may result in:
• verbal warning • Time out of the group (within close proximity) • Time out of the group and parent contacted • temporary suspension (without refund) • removal from programming • termination of membership
Disciplinary decisions will be reviewed by club administration and/or the Board when appropriate.
Parent & Spectator Code of Conduct
Parents, guardians, and spectators are expected to:
• Remember that children are here for their enjoyment communicate respectfully with coaches, staff, volunteers, and athletes • approach coaches after class in a private manner • refrain from disruptive or aggressive behavior • avoid coaching athletes from the sidelines • follow viewing and facility rules, access to the gym floor is not allowed • use respectful language and conduct at all times
The following will not be tolerated:
• harassment of staff or athletes • yelling or abusive conduct • threatening behavior • inappropriate social media activity • interference with training or competitions
Failure to comply may result in:
• removal from the facility • suspension of spectator privileges • athlete suspension or removal in severe cases
Safe Sport & Anti-Bullying Policy
The club is committed to providing a safe, inclusive, and respectful environment for all participants.
The club maintains zero tolerance for:
• bullying • harassment • discrimination • hazing • abuse • retaliation • inappropriate conduct toward minors • All participants are expected to comply with Safe Sport standards and applicable AGF and Gymnastics Canada governing body policies.
Concerns regarding athlete safety or misconduct should be reported to club administration immediately.
Photography, Video & Social Media Policy
Photography and video recording may occur during training, events, and competitions for:
• promotional purposes • social media • newsletters • livestreams • club publications
Parents/guardians may opt out in writing.
To protect athlete privacy:
• photos/videos of other athletes may not be publicly shared without consent • livestreaming may be restricted • recording coaches without permission is prohibited • inappropriate online conduct involving club members may result in disciplinary action
The club reserves the right to request removal of content that violates club policy or athlete privacy.
Injury, Illness & Medical Policy
Parents/guardians are responsible for disclosing:
• medical conditions
• allergies • injuries • activity restrictions
Athletes recovering from injury may be required to provide medical clearance prior to returning to participation.
The club reserves the right to restrict participation if athlete safety may be compromised.
Concussion Policy
Any athlete suspected of sustaining a concussion:
• will be removed from activity immediately • may not return the same day • may require medical clearance prior to returning
The club follows current AHS concussion guidelines and return-to-sport protocols.
Facility & Safety Policy
All participants must:
• follow posted safety rules • respect equipment and facilities • wear appropriate attire • remain in authorized areas only
Unsafe behavior may result in immediate removal from activity.
The club is not responsible for lost, stolen, or damaged personal property.
Communication Policy
Questions or concerns should follow the following process:
1. Coach 2. Program Coordinator/General Manager 3. Board of Directors (if unresolved)
Direct confrontation during classes, competitions, or events is discouraged.
The club reserves the right to establish communication boundaries to maintain a respectful environment.
Release of Liability
Participation in gymnastics involves inherent risk of injury. By registering, participants acknowledge and accept these risks.
